Who is responsible

The controller of your personal data is Thousandhouse OÜ (registry code 17453651, VAT number EE102962651), Juhkentali tn 8, Tallinn, Estonia. You can send questions and requests about privacy to antte@thousandhouse.com.

What data we process and why

Website

The site has no analytics, advertising or tracking and no third-party embeds, and the fonts are loaded from our own domain. Cloudflare hosts the site, delivers it to visitors and protects it from attacks, and for this it processes visitors' IP addresses and request data. When you open thousandhouse.com, the site uses the country that Cloudflare derives from your IP address only to choose the Finnish or English version, and Thousandhouse does not store it. The site sets cookies only on the proposal pages described below, although Cloudflare may set a necessary security cookie to tell people from bots. This processing is based on our legitimate interest in keeping the site available and secure and in showing it in the visitor's language.

Contact form

When you send the contact form, we process your name, company, email address, your phone number if you give it, and your message so that we can answer you. The form is delivered to our email through Resend, and the site does not store it. Cloudflare uses the IP address to limit repeated submissions. This is based on our legitimate interest in answering enquiries.

Email

When you email us, we process your name, email address, company and message so that we can answer you, arrange a demo and look after the customer relationship. Email sent to thousandhouse.com addresses is received through Cloudflare Email Routing and delivered to our mailbox. This is based on our legitimate interest in answering the messages we receive. Giving us this data is voluntary, but without your email address we cannot reply to you.

Sales outreach

We contact companies by phone and email about our services. For this we process business contact details of company representatives, meaning name, role, company, work phone and work email, which we collect from public sources such as company registers and company websites. This is based on our legitimate interest in marketing our services to businesses. You can object at any time by telling us, and we will then stop contacting you.

Sales calls

We record our sales calls and transcribe them so that we remember what was agreed and can improve our sales. The recording and the transcript are made and kept on our own computer. This is based on our legitimate interest. If you don't want the call recorded, say so at the start of the call and we won't record it.

Language model

We use a language model to read our email, draft replies and go through the transcripts of sales calls. The model makes no decisions, and a person sends every message. This is based on our legitimate interest in handling our correspondence efficiently.

Demo

The app demo at esittely.thousandhouse.com is a static page that collects no data, and any changes you make in it stay in your browser until you reload the page, while your browser also remembers the view and menu width you chose.

Proposal pages

Our password-protected proposal pages use necessary cookies that keep access open for up to 12 hours and protect form submissions for up to 30 minutes. These pages load no analytics, and Cloudflare uses the IP address to limit repeated password attempts. This is based on our legitimate interest in keeping the proposal pages closed to anyone without the password.

Customer data

Our customers' own data in the quote request app is processed in each customer's own Microsoft environment and not by this website.

We do not make automated decisions or use profiling that has legal or similarly significant effects on you, and we do not sell personal data.

Our email: the mailbox where messages are delivered and from which we send ours, including sales outreach.

The language model we use to read and draft our email and to go through the transcripts of sales calls.

All of these providers may process data outside the EU and the EEA. These transfers rely on the EU-US Data Privacy Framework or on standard contractual clauses approved by the European Commission. You can request a copy of the standard contractual clauses by writing to antte@thousandhouse.com.

How long we keep data

We keep personal data only for as long as the purposes described above need it, and emails and business contact details for as long as the conversation or customer relationship needs them. Contact details collected for sales outreach that do not lead to a conversation or customer relationship are deleted within 24 months of the last contact, and so are the recordings and transcripts of sales calls. If you have objected, we keep only a minimal record of your objection so that we do not contact you again.

Your rights

You have the right to access the data we hold about you and to ask us to rectify or erase it or to restrict its processing. In addition, you can object to processing based on our legitimate interest and ask for your data in a portable format. Send your request to antte@thousandhouse.com, and note that we may need to verify your identity before completing it.

You can also lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon) or with the supervisory authority of your own country, which in Finland is the Data Protection Ombudsman (Tietosuojavaltuutetun toimisto).

Changes

We update this notice when our website, our service providers or the way we process data change.
